Placing an Order

Once you have made an inquiry and we have confirmed your final price quote, the process begins. (This means that after we discuss your project details and you agree to the estimated costs, we will officially move forward with the order.) After your payment is processed—according to our agreed terms—the next step is to submit your files to us for prepress.

Before You Upload

Please review all your files carefully. Ensure they are print-ready and follow the technical guidance and instructions we provided earlier.

Updated Files

Once your files are uploaded, we will generate an electronic proof within 72 hours for your approval

If you need to upload new files after reviewing your electronic proof, please note that it may take a few days to generate each new version of the proof

File Preferences

Our preferred format is PDF, though we can accept a wide variety of other file types.

Prepress

After you submit your payment and upload your artwork, a prepress expert will be assigned to your project. Within approximately 72 hours, they will provide you with an electronic proof.

The main goal of the prepress stage is to ensure your files are ready for high-quality printing. We achieve this by running your files through a "pre-flight" test to confirm that everything will look exactly as you intended

Your assigned expert will guide you through this process and keep you informed. If we make or suggest any technical changes to your files, we will document and explain them clearly. We will also provide a comprehensive checklist to help you prepare your files correctly.

Creative Decisions

Our experts will always notify you before making technical adjustments, such as color conversions. However, we do not make creative changes or review your work for the following:

  • Spelling or grammar
  • Graphic design or layout
  • Story plot or stylistic choices

You are responsible for all creative decisions. Once the prepress check is complete, you will receive an email with your electronic proof and notes from our team. We will go through as many rounds of corrections as necessary until you are satisfied.

Note: If this is your first time working with commercial printing, we recommend allowing extra time (a few days to a few weeks) to review and fix any file issues.

Electronic Proofing

We provide free electronic proofing for every project. Even if you order a hardcopy proof, your project must first pass the electronic stage.

When you receive your proof, you will see printer’s marks (indicating trim, bleed, and center lines). You may also see suggestions from our team for final adjustments before production begins.

If you only use electronic proofing: Your approval acts as the final agreement for the standard of your finished product.

If you use hardcopy proofing: Your electronic approval allows us to move forward with creating your physical proof.

Important: Electronic proofs cannot accurately show how colors will look on paper. For a true preview of offset printing colors, we recommend ordering a hardcopy proof.

Digital vs. Offset Printing

Depending on your project, you might consider ordering a single digital print. Please keep in mind that digital prints use different materials, finishes, and binding techniques than offset printing. Because of these differences, a digital sample is not an exact match for the final offset product.

Hard-Copy Proof Sheet

If you are concerned about how your colors will look when printed using the offset process, we recommend adding a hardcopy proof sheet to your order

  • Quality Control: This is a physical document printed at Grapes Book Factory.
  • The Setup: We create a single printing plate from the specific pages you select. It takes two to four hours to set up the offset press specifically for this one sheet.
  • Color Accuracy: The colors you see on this press sheet are exactly what you will get in the final production

Note: Choosing a hardcopy proof sheet will add two weeks to your total turnaround time.

Production Timeline

Once your proof is approved, your project moves into our state-of-the-art production cycle. We don’t just print; we craft.

The Press Room (Printing)

We use high-precision four-color sheet-fed presses. Every page undergoes a controlled drying process to ensure ink stability and crispness.

  • Timeline: Approximately 1 week (varies by order size).
Post-Press (The Art of Binding)

This is where your vision takes its final form. Pages are folded, precision-cut, and bound using your selected technique.

  • Timeline: 1–5 weeks depending on the complexity of your binding.

  • Process: Extra units are printed and sent to a world-class lab for chemical analysis.
  • Timeline: Adds 1–2 weeks to the schedule.

  • Planning for Perfection: > Please account for extra time if your project includes ”Premium Finishes” (like Foil Stamping, Spot UV, or Embossing) or if your order exceeds 2,000 units. We believe in doing it right the first time, rather than doing it fast.

Packaging

Your project isn't finished until it arrives safely at your door. We use Export-Grade Protection to ensure that your books withstand the rigors of international shipping, moisture, and handling.

Internal Protection (Moisture & Dust Guard)

Books are sensitive to humidity. To prevent warping or dampness during sea or air freight:

  • Shrink-Wrapping: Books are bundled and shrink-wrapped in high-gauge plastic to seal out moisture.
  • Silica Gel Packets: We include desiccant packets in every master carton to maintain a dry environment.
Heavy-Duty Boxing

We don’t use standard boxes. We use Double-Wall Corrugated Cartons (Export Quality):

  • Burst-Tested: Our cartons are rated for high weight capacity to prevent collapsing when stacked.
  • Edge Protectors: High-density corner guards are placed inside the boxes to prevent ”bruised” book corners.
Palletization & Security

For large orders, we utilize heat-treated (ISPM 15 compliant) pallets for easy and safe transport:

  • Stretch-Wrapping: The entire pallet is wrapped in multiple layers of industrial film for stability.
  • Strapping: Heavy-duty nylon straps secure the load so nothing shifts during transit.
Labeling & Documentation

Every box and pallet is clearly labeled with:

  • Item Details: Title, Quantity per box, and Weight.
  • Handling Icons: ”Fragile,” ”Keep Dry,” and ”This Side Up” stickers.
  • Barcoding: Optional SKU or Amazon-compliant (FBA) labeling for seamless warehouse entry.

To avoid the high costs of courier services (such as UPS, DHL, or FedEx), we specialize in Commercial Shipping. By utilizing bulk freight networks, we significantly reduce the per-unit shipping cost, ensuring your international distribution remains budget-friendly.

Shipping Options: Finding Your Balance

We offer two primary modes of transport depending on your timeline and volume:

  • Sea Freight (Ocean): The most cost-effective option for large-scale production. Ideal for inventory restocking where time is flexible.
  • Air Freight: Recommended for smaller, time-sensitive shipments or urgent launches. While more expensive than ocean freight, it offers significantly faster transit times to get your books into the hands of readers quickly.
Logistics Consultancy

You don’t have to be a logistics expert—that’s our job. When you partner with us, you receive:

  • Freight Optimization: We analyze your shipment volume and destination to recommend the most cost-effective route.
  • Customs Guidance: We assist in preparing the necessary documentation to ensure a smooth transition through customs and minimize the risk of hold-ups.
Planning for the Unexpected (Potential Delays)

Global shipping is a complex ecosystem. Unless you have selected our Guaranteed Expedited Delivery service, please treat all shipping estimates as approximate.

Transit times can be influenced by factors outside of our control, including:

  • External Conditions: Severe weather, port congestion, and vessel availability.
  • Operational Factors: Labor fluctuations or changes in shipping carrier capacity.
  • Customs Inspections: Occasionally, shipping containers are flagged for random inspections by Customs and Border Protection. This process is mandatory and can add 1–2 weeks to your delivery schedule.
Pro-Tip for your Clients (The “Safety Margin”)

Build in a Buffer: > To ensure your launch schedule remains stress-free, we strongly recommend adding a 2-week buffer to your expected delivery date. This protects your timeline against the minor, unforeseen events common in international ocean logistics.

Our Promise

When you place an order, we promise that your final product will match the specifications in your quote. We use only the highest quality materials and the best construction methods available.

Our Correction Policy: If we make an error that does not match your order, we will fix it with a reprint or a refund (subject to the exceptions below).

Partial Issues: If only part of your order is affected—such as a few books damaged during shipping—we will provide a prorated refund or reprint for that specific amount.

Guarantee Exceptions

Printing is a complex process with many moving parts. Because of this, our guarantee does not cover the following areas:

1. Color Accuracy & Expectations

Colors on a digital screen often look different than they do on paper.

• Variances: Due to the nature of CMYK (four-color) printing, we cannot guarantee an exact match to your monitor or home printer.

• Proofs: A "hardcopy proof" is the best way to preview your colors, though slight variations may still occur.

• File Format: Please submit files in CMYK. If you submit files in RGB, the colors will shift during conversion, and we cannot guarantee the result.

2. Prepress Check Overrides

Our team performs a technical review of your files to catch common printing errors. If we flag an issue and you choose to proceed without fixing it, our guarantee will not cover any problems resulting from that specific issue.

3. Shipping & Timelines

All turnaround times are estimates. We cannot guarantee exact delivery dates for standard shipping due to factors beyond our control, such as weather, port delays, or customs inspections.

4. Creative Decisions

You are responsible for the content and layout of your project.

• Content: Our guarantee does not cover typos, spelling errors, or design choices.

• Review: While we help with technical file setup, we do not proofread your work or check for creative errors

5. Found a Problem? Let Us Know Early

Please inspect your order as soon as it arrives.

• 30-Day Limit: If you discover a manufacturing defect, you must report it to us within 30 days of delivery. We cannot offer refunds or reprints for defects reported after this timeframe.
